Corporate Governance Administrator
I am working with a Public Sector Organisation based in Brighton who are looking for a Corporate Governance Administrator for 6 Months Initially.
The role is full time, to start ASAP and paying up to £16.01 p/h including holiday pay.
Job Purpose
As Corporate Governance Administrator you will be part of a friendly, professional, and vibrant team. You will be a key member of the team, providing support to ensure the smooth and efficient running of all governance committees and Board. You will be responsible for providing high-quality comprehensive support across a range of administrative functions and processes within the context of a fast-paced and high-profile team.
Duties and Responsibilities
- Provide administrative support for the Corporate Secretariat Team and as required to the wider corporate governance team.
- Provide general administrative support for the Non-Executive Directors (NEDs) and send them regular news and other communications as tasked.
- Provide administrative support for internal and external meetings as required, including but not limited to drafting agendas from a forward plan, coordinating timings, sending outlook calendar invites, assessing, and recommending venues, liaising with facilities and external providers on catering and bookings, distributing agendas and paper packs, and managing attendance.
- Attend Board meetings and, other committee meetings as required ensuring the smooth and efficient running of key governance meetings, responsible for setting up the room/technology ahead of the meeting, manage the attendance of presenters both virtually and in-person, and any other tasks required to ensure high quality facilitation of both hybrid and in person meetings.
- Manage NED expenses and work with Finance and other teams as required to produce expenses and gifts/hospitality report for publication.
- Update and improve key governance registers, documents, and templates (such as the Board register of interests, the Board attendance register and the gifts and hospitality registers).
- Manage the safe collection and maintenance of NED information and ensure their details (committee membership, length of term etc) are up to date.
- Manage the Corporate Secretariat group inbox, and effectively prioritise responses by replying to emails where appropriate or forwarding to the relevant Lead Associate and/or Board Secretary as required.
- Book team meetings and maintain team action log/agenda planner.
- Monitor our intranet pages and SharePoint site, and request updates as required
- Manage the Corporate Secretariat and Governance calendars.
Knowledge & Skills
- Excellent attention to detail and accuracy, with a proactive "task and finish" approach
- Able to prioritise and have a flexible approach, with excellent organisational and administrative skills.
- Strong MS Office skills, with experience of formatting Word documents and creating and working with Excel spreadsheets.
- Strong MS Outlook skills with experience of calendar management and managing multiple meeting invitations and diaries.
- Strong and diplomatic communicator, comfortablewith engaging with stakeholders at all levels across the business.
- An understanding of confidentiality and data security
- Experience of working in a similar position or position with strong transferable skills
